Administrative Program Assistant

Position Overview

Multi‐faceted entry level position providing on‐going administrative, logistical and programmatic support to IEL President and Project/Program staff. Looking for a motivated, enthusiastic teammate who wants to hit the ground running and is willing to learn and grow within the organization.

Salary Range: $35,000 to $38,000 (commensurate on experience)

Responsibilities May Include

Event and Logistics Management
Assists Coalition for Community Schools, Education Policy Fellowship Program, and Central Office in planning, organizing, and implementation of various events (e.g. conferences, retreats, etc.). Specific tasks include:

  • Prepare conference Materials (e.g. folders, agendas, and presentation materials).
  • Assist with registration prior to meetings and onsite.
  • Communicate with presenters and attendees.
  • Draft and write press releases, program materials, blogs, and summaries of events.
  • Assist onsite with meeting logistics and coordination of hotel staff and IEL staff.
  • Conduct follow up surveys and share final reports with the field.
  • Perform other duties as assigned.

Leadership and Administrative Support
Works closely with Central Office staff on all aspects of office systems and management. Specific tasks include:

  • Manage president’s schedule.
  • Maintain routine communications with project funders, partners and other stakeholders.
  • Prepare a variety of office material for president and program staff.
  • Assist with board-related matters, including board communication, meeting planning, logistics and recording and drafting of minutes from IEL Board meetings.
  • Serve as receptionist: receive occasional telephone calls.
  • Help maintain and monitor office equipment and services.
  • Coordinate and monitor all office supplies inventory and special requests.
  • Assist with financial management.
  • Conduct research.
  • Perform other duties as assigned

Social Media and Communication

  • Maintain social media platforms for Education Policy Fellowship Program.
  • Assist in the maintenance of program/project materials on the IEL web site.
  • Coordinate the dissemination of project/program publications and products, using the IEL family of web sites, as well as direct mailing and conference distribution strategies.
  • Assist Coalition for Community Schools and IEL at-large with SalesForce database system.
  • Perform other duties as assigned.

Qualifications

  • Bachelor’s degree
  • Strong organizational skills
  • Detail oriented
  • Documented capacity to work effectively as a team member
  • Ability to manage multiple tasks simultaneously and take instructions from multiple people
  • Experience with various software packages: Microsoft Word, SalesForce, EXCEL, PowerPoint applications; some experience with web‐related software preferred
  • Experience with social media, including Twitter, Facebook, LinkedIn, and social media management tools like Hootsuite or comparable software
  • Interest in education and/or public policy
  • Fast/willing learner
